Is Mental Note AI HIPAA-compliant?

Yes. Mental Note AI is fully HIPAA-compliant and we sign a Business Associate Agreement (BAA) with every clinical-tier customer. Your client notes never leave the encrypted Microsoft 365 tenant — they are processed inside Word, not uploaded to our servers. We retain zero PHI after a session completes, and we never train AI models on customer notes.

Which note formats does Mental Note AI support?

SOAP, DAP, BIRP, GIRP, PIE, SIRP, and progress notes. Each format generates with the specific section structure required by major payors and credentialing bodies (CARF, JCAHO, state Medicaid). Mental Note AI also handles intake assessments, treatment plans, discharge summaries, and pre-authorization letters.

Do I have to learn a new app?

No. Mental Note AI runs as a Microsoft Word add-in — your existing Word ribbon gets a new panel. Type or dictate your session details (or paste in your raw shorthand notes), and Mental Note AI generates the formatted note directly into your Word document. No browser tab, no upload, no template-juggling.

Will my notes be audit-ready?

Yes. Every generated note follows the standard documentation conventions required for insurance audits and licensing-board review. Mental Note AI explicitly flags missing elements (functional impact, medical necessity, intervention rationale, treatment goal connection) when documentation is thin in those areas.

How long does it take to generate a note?

Is my client data ever sent to third parties?

No. Mental Note AI uses Microsoft's Azure OpenAI infrastructure within your Microsoft 365 tenant. PHI never leaves your tenant. We don't share data with marketing tools, analytics services, or any third party.
